When we think about organizing an event, automatically one of the first things we think about is the venue in which we want it to be held. And the choice of the ideal venue is almost as important for the guests as it is for the host, and will greatly determine the success of the event.
Realization of a study regarding the choice of the venue
For the first time, more than 100 professionals gathered in the Meetings and Events Industry to elaborate an analysis on the selection of an event venue by event organizers and venue managers.
This meeting took place at Casa de Burgos, a new venue in the Antiguo Convento de Madrid, where the VenuesConnect Forum was held to present singular venues for events.
During the meeting, an enquiry was made upon the interaction of the present members to get to know the offer and demand of venues, the search process of each of them, the organizers’ criteria when it comes to choosing a venue…etc, to discover in this way each professional’s method. And what were the results that came out of the study?
External suggestions
When the event organizer starts looking for a venue, a 100% determining factor is the advice or recommendation received from their loved ones, either from personal experiences or from their clients, who bear in mind a series of requisites and characteristics for the event venue.
Online research
84% of the organizers chose to go for online search engines to find a certain venue, so it is extremely important to choose the right one. Indeed, according to the results obtained, the organizers all agree on the fact that the online search engine must provide an easy way of soliciting the venue and contracting it.
The best, Perfect Venue. Why? Because it gathers everything you need to know on the venue: its location, capacity, accomodation, parking, categories that best match the event’s theme (wedding, catwalks, conferences, workshops and classes, etc), you can browse them according to their location or their type (castle, country house, hotel, winery, with views on the sea, etc)
These two options highly win against any promotional action by the venue representatives, no matter if you have met them on sales visits, at fam trips or at fairs.

The most conditioning factors that play a role in the final choice of the contraction of a venue are the location, the accessibility and most importantly, the budget. Attention to the customer, singularity of the space and sollicitude management come afterwards.
Another fact that came out of this research is that, for nightimes parties and gala dinner, hotel rooms are the favorite (by 71% of the enquiry) to celebrate this type of event, whilst as far as the launching of new products and meetings are concerned, 50% prefer singular venues.
Another piece of information collected regarding the duration is that half-day events are the most common, followed by full-day events.
At the end of this meeting among the professionals and after the analysis of its results, the members concluded that VenuesConnect, the new marketplace in this sector, has been a success among event organizers, as they consider it a good business opportunity, full of novelties and personal links.
