Professional event organizers have several responsibilities to take care of, to ensure the success of events in Spain.
However, the biggest and most important factor that should be taken care of is making sure that people will attend your event. Without attendees, there can be several repercussions for your business; the client will be disappointed, money will go to waste, and your reputation as an event organizer will suffer.
Determining a good number of attendees for your event will require months of planning.
Here’s what you can do to make sure your event is packed:
- Choose a venue that is as accessible as possible for a majority of the attendees. If you are organizing a local event, select a venue that’s easy to find and get to. Make sure that the venue also has several features that will make it extra comfortable especially for attendees that are traveling long distances to attend the event; such as world-class equipment, ventilation, adequate and cozy seating, and good food and refreshments for everyone.
- Create an event website where all the information can be clearly understood by all potential attendees. This is especially important if you are organizing a tradeshow, seminar, or conference. Some of the important information you should include in a website are: event theme, agenda, schedule, payment options, contact details for the organizer and directions to get to the venue. A website can also help increase conversions is by including a registration and seamless payment feature.
- Allow attendees to register as a group, which is especially helpful for creating seating arrangements. Group registrations also offer the benefit of enabling just one person to pay for several others, thereby increasing conversions. Group registrations are helpful if your event caters to both business and social events. Head members of both families and teams of colleagues can register once with a single payment, and worry about nothing else. Another way you can increase conversions with group registrations is by offering discounts for groups of 5, 10, or more. This will incentivize people to save money while attending your event.
- Promote your event using social media. These days, traditional marketing is no longer effective or affordable if you want to reach a wide range of people. Social media is free to use, and when done right, it can be the only marketing tool you’ll need to make sure that your event gets a lot of attendees. Considering the fact that most people spend so much time on their phones, events in Spain will be more successful if you use social media marketing.
- Offer your attendees multiple payment options. Whether you are using a website or event management software, offering multiple forms of payment catering to PayPal and credit cards should be included. Foreign debit and credit cards should also be included especially if you are expecting overseas guests. Offering multiple payment options also saves you the problem of having to deal with currency conversion.
