The term wedding planner is still a bit new to Spaniards, and it’s normal, because until recently the closest thing we had in Spain to a wedding planner was an organiser who guided events in catering companies, hotels or estates, but nothing to do with a real Wedding Planner! 

Wedding planners are the people who are in charge of creativity, ideas, decoration, timing, and EVERYTHING related to the development of a wedding. Their tasks include hiring the suppliers, preparing the wedding budget, managing the photo sessions, sending the wedding invitations, finding the Perfect Venue, hiring the wedding staff (suppliers, photographers, beauticians, florists, buffet, drinks, etc.) and directing them during the process, coordinating the wedding day, the reception and the clean-up after the event… and a whole host of other things!

How much does a Wedding Planner charge?

Below, we detail the amount of money a Wedding Planner charges, but we already tell you that prices vary depending on different factors, such as the first factor that we are going to see: depending on the service to be performed. 

Charge per service 

Yes, it all depends on different service options, among which are: integral organisation, partial organisation, or wedding coordination. What exactly is each service and how much is charged for each of them? We tell you below.

Integral organisation

The name says it all. When you hire an integral wedding planner you are normally paying for one person to organise your wedding. However, that doesn’t mean that you can’t make decisions. What the Wedding Planner will do in this case will be the previous search for the venue and suppliers, but you will always be the one who has the last word. In addition, it is normal that before starting anything, the planner sits down with you to define your tastes, your style, and to propose a very specific theme for your wedding. 

In this case, to give you an idea, a complete organisation usually involves an average of 400 hours of work. All the other services are more or less regulated, but this one in particular is the one with the most flexible price quota because there are some that charge around 2500 € and others that charge more than 10,000 €. The factors depend on many things: when you arrived in the sector, how many weddings you have done, and many other points. There are areas of Spain where people tend to work on commission and areas where they don’t.

Partial organisation

A partial wedding planner usually joins about a month before the wedding day and helps with last minute tasks: helping with seating plans, confirming vendors and responsibilities on the day. The average starting fee for a partial wedding planner is €1500, but it all depends on other factors as well, which we will discuss below. 

Day-of coordination

Contrary to what many people believe, coordination is not a day job. Normally coordination begins to be prepared a month in advance. The venue is visited with the bride and groom, photos are taken and the decoration points are well defined. Then the timing is drawn up, reviewed several times with the couple and finally reviewed with all the suppliers, one by one. Once everything is well defined and clear, on the day of the wedding we go to set up the decoration, we prepare the reception for the guests, we make sure that nothing goes wrong and we coordinate the wedding until, more or less, the bride and groom’s dance. It is usually between 10 and 14 hours of work. Sometimes more. And by the way, the ratio of helpers to guests remains the same. Normally coordination costs between 800 € and 1500 €. 

Other factors that influence the earnings of a wedding planner 

In addition to the type of service to be performed, there are many other factors that can influence the fees. Some of the factors that can influence the fees are:

Location: If you live in a city like Madrid or Barcelona, the rates are likely to be higher than in a small inland town.

Experience: With experience comes reputation, and wedding planners with a good track record tend to charge more money.

Number of guests: Many wedding planners structure their prices according to the total cost of the venue and suppliers. A larger guest list means a more expensive wedding and a higher price for your planner. 

Charging by the hour

There is also the option of hiring a Wedding Planner by the hour. In Spain this is not common, but in the USA it is common practice.
